02. Personal data we collect
- When you enquire: your name, company or organisation, work email, and your phone number and WhatsApp profile if you message us on WhatsApp. You may also share event details such as group size, preferred dates, venue preferences, an approximate budget and general accessibility or dietary considerations.
- When we deliver an experience: organisers’ contact details and any participant information you give us to run the event, such as team lists or dietary needs. If photography or videography is part of the agreed scope, images and footage of participants.
- When you visit our website: technical information such as your IP address and browser type, which our hosting and security systems need to run and protect the site.
Please share general requirements only. We don’t need names or medical details of individual participants at the enquiry stage.
03. How the Build Your Experience page handles your answers
- While you fill in the builder, your answers stay in your browser tab’s memory. They are not saved to our website’s database, cookies or browser storage, and we don’t use analytics or session-recording tools on the page. Refreshing or leaving the page clears them.
- WhatsApp: if you choose “Open WhatsApp”, the text of your brief is passed to WhatsApp, operated by Meta, and you decide whether to send it. Once sent, it is handled by WhatsApp under its own privacy policy and by us as described here.
- Email: if you choose “Send by email”, your brief is sent from our website to hello@takoexperiences.com. The website does not keep a copy; we keep the email as part of our correspondence with you.
04. How we use personal data
- To respond to enquiries and prepare proposals and quotations.
- To plan, deliver and follow up on experiences, including coordinating with suppliers.
- For invoicing, record-keeping and other administration.
- To keep our website secure and working properly.
- To meet our legal and regulatory obligations.
We don’t add you to a mailing list or send you marketing unless you separately agree to it.
05. Consent and withdrawal
By contacting us or engaging our services, you consent to us collecting, using and disclosing your personal data for the purposes above. You can withdraw your consent at any time by emailing hello@takoexperiences.com. If you do, we may no longer be able to respond to your enquiry or provide our services, and we will tell you if that is the case.
06. Who we share it with
- Service providers who help us operate, such as our website host (Hostinger), our email provider and WhatsApp (Meta).
- Suppliers involved in delivering your event, such as venues, caterers, photographers or transport providers, and only the details they need.
- Professional advisers, and authorities when the law requires it.
We do not sell personal data.
07. Third-party services and cookies on our website
Some parts of our website load from Google’s servers, such as fonts and map services, which means Google may receive your IP address and browser information. Our security software logs visits and IP addresses to protect the site against attacks.
We don’t use advertising or analytics cookies. WordPress and our security software set technical cookies, mainly for signed-in site administrators.
08. Transfers outside Singapore
Some of our service providers may store or process personal data outside Singapore. Where this happens, we take reasonable steps to ensure the data receives a standard of protection comparable to the PDPA.
09. How long we keep it
We keep personal data only for as long as it is needed for the purposes above, or as required for legal or business reasons such as accounting records. We periodically review the data we hold and securely delete or anonymise what we no longer need.
10. How we protect it
We use reasonable security arrangements to protect personal data, including encrypted connections (HTTPS), restricted access to our systems and security monitoring. No method of transmission or storage is completely secure, but we work to protect your data and will act promptly if an issue arises.
11. Your rights
You may ask to access the personal data we hold about you, ask how it has been used or disclosed in the past year, or ask us to correct it. Email hello@takoexperiences.com and we will respond as soon as reasonably possible, generally within 30 days. We may charge a reasonable fee for access requests, and will tell you before doing so.
12. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
